How to Brief a Cocktail Caterer for a Luxury Event

A practical guide to briefing a luxury cocktail and events company — the details that matter, the questions to ask, and how to get a flawless result.

The difference between a good event and an unforgettable one is usually in the brief. The more a cocktail caterer understands at the start, the more they can surprise you at the end. Here is what we find most useful to know.

The essentials

  • The occasion. A launch, a wedding, a corporate dinner and a private party all want different energy from the bar.
  • The guests. How many, and who? VIP clients, press, friends and family each change the tone of the room.
  • The venue. A blank space, a private home, a listed building or a marquee — each has its own constraints for power, water and licensing.
  • The timings. Arrival, key moments, last serve. A run-of-show lets us pace the drinks to the night.

The details that elevate it

Tell us about the brand or the host. Share a moodboard, a colour, a fragrance, a song — anything that captures the feeling. The more sensory the brief, the more precisely we can compose around it.

Questions worth asking your caterer

  1. Is the menu genuinely bespoke, or chosen from a fixed list?
  2. Who is behind the bar — and are they as much hosts as they are mixologists?
  3. How do you handle licensing, allergens and a serious zero-proof programme?
  4. Can you provide staff, food pairings and coordination, or only the bar?

A house that can answer all four with ease is one that can carry the whole evening.

When you are ready, tell us about your event — the more you share, the better we compose.
